Where off-the-shelf software falls short
Packaged software is built for the average customer. Its data model, screens and workflow reflect what most buyers asked for. When your process matches, that is efficient. When it does not, you have three choices, and none of them is good:
- Change your process to fit the software, and lose whatever made it effective.
- Configure around the gaps with custom fields, naming conventions and notes that everyone must remember.

In each case, the process is the product. Software that captures it exactly makes it repeatable, measurable and teachable. Software that approximates it leaves the advantage dependent on individuals.
Why custom used to be out of reach

- Give it an owner. Someone in the business should be accountable for the application's rules and data, just as they would be for the process.

When to build custom, and when not to
Not everything should be custom. Use packaged software for commodity processes where the standard way is fine, and where regulation or integration with partners expects it. Build custom where the process is distinctive, where people are working around the current system, or where the workflow changes often enough that waiting for a vendor roadmap costs you.
